Committee Executive

FACILITATOR

Ensure that SWAN in all its undertakings fulfils all accountabilities and does so within the articulated values of SWAN. Liaise with Committee Members and support them to undertake their areas of responsibility. Facilitate Committee Meetings, bi-monthly General Meetings, the AGM and represent SWAN at other organisational meetings, forums and events. Sign off on position papers, advocacy letters, media releases etc. made in the name of SWAN.

DEPUTY FACILITATOR

Support the Facilitator as required and represent her if she is not available.

SECRETARY

Send and receive all SWAN related email and postal correspondence. Respond where appropriate and/or forward to relevant Committee or general members for their information and/or to reply. Maintain a record of correspondence and a register of members. Circulate mail-outs to people on the SWAN mailing list as required. Work with the Treasurer to ensure the requirements of Consumer Affairs Victoria (CSV), Australian Charities and Non-Profits Commission (ACNC) and Consumer Affairs Victoria are met.

MINUTES SECRETARY

Responsible for circulating information within the SWAN Committee and supporting the Facilitator to prepare meeting agendas and relevant documents for the AGM.

TREASURER

Responsible for all matters associated with the financial management of SWAN and work with the Secretary to ensure the requirements of Consumer Affairs Victoria (CSV), Australian Charities and Non-Profits Commission (ACNC) and the Australian Business Register for the ABN are met.

Ordinary Committee Members

PRINT MEDIA LIAISON

Be the central point of contact for all media releases, articles, letters to the editor and information about upcoming meetings and events written in the name of SWAN that are being submitted to newspapers for publication. Assist in editing the content to ensure that this material is high quality and adequately reflects SWAN values and promotes SWAN’s focus on equity and social justice.

SOCIAL MEDIA LIAISON

Coordinate the posting of information and photos on SWAN Facebook and Instagram sites. Assist the Committee to develop guidelines to ensure that SWAN members provide suitable information and high-quality photos to promote SWAN’s focus on enabling women to meet to learn about and discuss social justice and equity concerns, and to take part in advocacy campaigns

SPEAKER COORDINATOR

Responsible for securing and liaising with guest speakers who have experience in advocating to address an equity, human rights or social justice concern, for SWAN General Meetings (5).

SWAN NEWS EDITOR

Source articles, reports, notices and photos etc. to produce an informative monthly newsletter about social justice and equity concerns and advocacy campaigns (x11).

SWAN BURSARY LIAISON

Coordinate all tasks associated with the promotion and conduct of the annual SWAN bursary, including liaison with Mornington Peninsula Foundation, bursary schools and recipients.

WEBSITE COORDINATOR

Oversee website development, liaising with the Website Support person to update content as required.

Other Key Roles (Non-Committee)

CATERING TEAM LEADER

The role involves working with other Team members to purchase and lay out refreshments at General Meetings (5), pack up any remaining supplies and ensuring the kitchen is left clean and tidy.

MEETING FLYER DEVELOPMENT

Liaise with the Speaker Coordinator to design an attractive  flyer to promote each General Meeting (x5) with a focus on the guest speaker and a brief outline about the topic that she will address

RAFFLE COORDINATOR

Source local businesses (spanning the Mornington Peninsula) to sponsor a raffle prize. Ideally raffle prizes are to be from or represent ethical or free trade sources

SOCIAL JUSTICE ADVOCACY WORKING GROUPS

Be the key liaison person for the working group. Plan agendas and ensure that meeting notes/minutes are taken and circulated. Coordinate group activities and advocacy campaigns. Regularly liaise with the SWAN Facilitator to keep her updated about the group’s current focus, plans and any issues of concern.
